The brain only knows what to do, but does not know how to do these things, so it is very anxious, and a good plan should be done to the point where the brain can practice, such as the following:

What time was pre-spent today and how much time was left at his disposal

So how do you properly organize your day and make a "real plan without anxiety"? There are three steps, the first step: prepare a special day plan template, the second step: master the 4D mental method, the third step, the pen and paper to arrange, the whole process looks like this picture, and then I will show you one by one:

I also looked for a long time before, a book suitable for day planning, but I found that the book templates including hobo can not completely match my approach, since there is no suitable, then I will make one myself, this is the fourth generation of handbook I made, his daily plan template is like this, roughly divided into four areas:

The lower left is the timeline, the time that has been arranged, such as meetings, going out, are drawn, you can see at a glance how much time you can freely dispose of, to avoid arranging things more, less time resources
At the bottom right is the free zone, where you can think of things at any time, or do task decomposition, just record it in this area, and you can doodle it if you want

2. Internal power: 4D classification
We encounter many things in our work and life every day, such as: project plans, sorting out reimbursement forms, distributing departmental funds, project progress meetings at 2 p.m., reporting to leaders, collating union dues, watching movies with wives at 8 p.m., so how to manage these things?
Don't rush to do it (no plan), or rush to write it in a book (fake plan), you need to ask yourself a simple question first: What is the next step in these things?
All the things you encounter are just four next steps:
Do it now: Do it now
Delay it: Plan to do it
Delegate it: Authorize it to do it
Don't do it: Try not to do it
Let's use this framework to comb through the things at hand one by one:
Writing project plans and sorting out expense reports are things that the boss has been eyeing lately, so they need to be done immediately

3. Moves: Arrange things reasonably

Do things immediately written in the position of the frog in the upper right corner, please note that there are no more than three, if you find that you have a lot of things on hand to do immediately, it means that you are already in the state of firefighters, in order not to lose yourself in the matter, you can choose three frogs according to this principle, the first frog is related to the boss or important customers, the second is just things that you feel are particularly important but do not want to do, the third is only related to your long-term goals, please when you are most energetic, Go ahead and push these three things forward
There are two kinds of things that you plan to do, one is planned by others, such as a meeting, the second is planned out by yourself, for example, to go out to the bank, no matter what, in the timeline with arrows to mark this part of the time, and then you see the spare part of the timeline, that is, your disposable time, which is very important, the novice easy to enter the misunderstanding is to arrange the plan without considering the disposable time, the result is that there are two or three things postponed to tomorrow every day, the day after tomorrow, very demoralizing
There is no specific time arrangement of things, such as today to do a PPT, but when to do it, then write in the free zone, at this time must remember to do task decomposition, we now have to break things into fragments in order to be able to put in the time fragments to advance, otherwise it is easy to cause delays, task decomposition is one of the core capabilities of time management
Authorize to do things, while authorizing, you must confirm the follow-up time, such as the department fund distribution to colleagues to deal with, then ask the other party when they plan to do, if it is next Monday, then you add a message in the next Monday's plan: follow up the department distribution matters, if everyone in the company can be so clear time bottom line and keep the promise, then the team sorting and running efficiency will be doubled, the ceiling of personal efficiency is team efficiency, so it is very important to integrate time management into the team culture
In the end, your reasonable day plan should be similar, the reason why it is "reasonable" is because you have a clear goal, prioritizing three important things + task decomposition, time fragments matching things fragments + estimation is reasonable, considering disposable time + not forgetting things when arranging things, and authorized things are followed up
Even if our plan is reasonable, but the plan does not change quickly, we still need to see the tricks to deal with various temporary emergencies, and I have three valuable experiences in this regard:
4. See tricks: solve problems
First, what should I do if I encounter an unplanned sudden meeting?
This is very normal, if there is no unplanned thing happening every day, it is an aggressive and strange thing, so IBM has a saying: take the change as part of the plan, leave yourself 20% of the blank time every day, about an hour and a half, don't arrange anything, if you encounter an ad hoc meeting, you will not panic, and even you will have a kind of "small sample, I knew there would be this moth, wit as I have reserved time"
If there are too many unexpected things, then in addition to cutting off some of your own plans, you must also reflect on a question: how can you reduce the occurrence of temporary emergencies?
Second, what should I do if I find that several things have not been completed at the end of the day?
At this time, the most important thing is not to get upset, I have seen too many people plan today not finished, they are frustrated to the point that they don't even want to do tomorrow's plan, even dinner does not want to eat, so they enter a vicious circle, and the next day continues to be a day of collapse
In fact, the most common way to complete the plan is these three possibilities:
The first is that the plan itself is not reasonable, there are few time resources, but there are more things to arrange, this reconfirms tomorrow's time resources, and arranges things conservatively
Then there is their poor mobility, which is usually the point where the plan is not able to be practiced by the brain, so it is necessary to further decompose the task, encounter things that do not know what to do, go to the experienced person to discuss, and the task will be decomposed
There are also emergencies, at this time my usual practice is to quickly adjust the plan, the situation has changed, the plan will also change, the original arrangement of 8 things, encountered unexpected situations, then I will take the initiative to arrange 3 things to the next day to deal with, or that sentence, do not break the mentality
Third, what if things exceed their estimated time and delay?
My approach is: like our exams, when we encounter problems, do other things first, and finally go back to solve the problems, so if I write PPT more difficult than imagined, instead of being stuck there, it is better to put it aside, do things that do not delay, and finally go back to get this thing, but pay special attention to the fact that the exam has a clear and powerful deadline, so although I will postpone the solution of the problem, I must also solve him before leaving work
