Before connecting with Best Buy for EDI, you need to communicate with Best Buy and put forward the intention of accessing EDI, and Best Buy will provide the supplier with a link to best buy's website after confirmation. Next, all EDI messages will be tested on it. The process is as follows:
1. Best Buy provides key information to suppliers
Best Buy provides suppliers with EDI IDs for test and production environments, including ISA Identifier, ISA Qualifier, and GS Identifier.
In addition to the above information, Best Buy will also provide you with its X12 separator information, as shown in the image below:
Second, the information that the supplier needs to know before starting the EDI access process
Once best-in-the-box information is available, the vendor can begin the EDI access process. Best Buy's website is an EDI test platform operated by the supplier itself, which makes it easier for the supplier to conduct EDI testing with Best Buy. These tests involve a lot of professional content in EDI, and it is more difficult for suppliers to operate directly, and it is recommended that suppliers can entrust their EDI team to work together, which will be much smoother. Best Buy has very strict time requirements for the EDI project, and hopes that the supplier can complete all EDI requirements and EDI documentation tests with the supplier within three weeks of receiving the EDI docking invitation. If the supplier fails to complete the test within the specified time, the test link will be invalidated and the EDI access process will need to be restarted.
3. Fill in the EDI ID of the test and production environment
Suppliers are required to fill in their own EDI ID, which mainly includes information about the test environment and production environment and information about van suppliers. This part of the filling will be done by our EDI consultants.
4. Download the EDI file
Download EDI 850 PO, EDI 860 PO Change on the Best Buy website. Six EDI 850 PO files will be downloaded under order numbers: DDEEFF, GGHHII, AABBCC, LLMMNN, PPQQRR and SSTTUU.
Seven EDI 860s are also required to download, and the changes initiated include the following 7 scenarios:
- Add item Add the item
- Increase Quantity Increases the quantity of items
- Cancellation cancels the order
- Ship and Delivery Date Change Ship date changes
- Quantity Decrease reduces the number of items
- Decrease item quantity to 0 The quantity of items is reduced to 0
- Price Change Price Changes
5. Upload EDI files
Upload EDI 856 ASN, EDI 810 Invoice and EDI 997 functional acknowledgement on best buy EDI test platform and verify the data. The file upload page is shown in the following figure:
Taking the most complex EDI 856 ASN test as an example, it is mainly divided into two steps:
In the first step, click the +New button in the image above to upload the file. The EDI 856 is generated from the EDI 850 we downloaded, uploaded and verified.
In the second step, you need to upload an EDI 856 for information changes.
Compared with the EDI 856 test, the EDI 810 Invoice and EDI 997 functional acknowledgement test is much simpler, just upload a file, the verification is successful.
After uploading the test file, the platform will verify the uploaded content and tell you whether the result is a success or failure. For EDI files that fail validation, an error report in HTML form is provided in the blank space shown in the image above, as shown in the following figure:
You can make corrections accordingly. Before re-uploading the file, you need to change the file name as well as the ASN ID and make sure the file is unique.
The error report provided by Best Buy is very detailed, and you can see all the error codes and a brief description of the problem in the Summary section. In the Validation Report section of the verification report, each error message is described in detail, making it easier for users to locate the problem. Our consultants will make targeted changes to the questions raised in this report, greatly reducing the test time and improving the efficiency of testing.
5. Complete the testing process on the Best Buy EDI platform
After completing all the testing processes, the Best Buy website will appear on a page shown in the following figure:
Next, you need to write an email to Best Buy's operation and maintenance team, informing that you have completed business testing on best buy's website, and proposing that you need to complete the VAN connection to provide BEST BUY with VAN connection information.
After Best Buy successfully establishes a connection in its EDI system, it will write an email to inform us of the best buy EDI ID information mentioned above, as well as the core information such as the supplier's EDI ID information and supplier number, confirming that the supplier's EDI connection with Best Buy has been completed. We will also be informed that all messages that have been tested during the testing phase have been moved into production. All production orders will then be sent via VAN.
